Auto-Log Team Sent Emails to HubSpot (Auto-BCC) — Setup

Goal: every external email anyone on the team SENDS is automatically saved to the matching HubSpot contact. One rule, no group to manage, auto-covers future hires. Runs on the mail server — works from desktop, web, and phone, no login, no add-in.

Scope: OUTGOING only. (Incoming/reply capture is deferred — see the note at the bottom.)

The HubSpot BCC address

44205564@bcc.hubspot.com (The number is the HubSpot account ID. Found in HubSpot: Settings → Data Management → Objects → Select an object → Activities → Email Log and Track → Manual Logging → BCC Address.)

Step 1 — Create the outgoing BCC rule

  1. New rule.

    admin.exchange.microsoft.com → Mail flow → Rules → Add a rule → Create a new rule → name: Auto-BCC outgoing to HubSpot.

  2. Conditions.

    The sender → is located → Inside the organization. And → The recipient → is located → Outside the organization.

  3. Action.

    Add recipients → to the Bcc box → 44205564@bcc.hubspot.com.

  4. Finish (Rule mode: Enforce), then toggle the rule On.

Step 2 — Test (after ~30 minutes)

From an @hue.life mailbox, send an external email → open that contact in HubSpot → confirm the email is on the timeline.

Attribution — one prerequisite for two users

A BCC'd email logs and is credited to a person only if the sender is a HubSpot user, connected inbox, or alias. Confirmed active users:

Attribute correctly now (@hue.life): irina.fursman, megan.jacobson, oksana.lohvinenko, shayna.keppeler.

Need a fix first (personal HubSpot logins): fursmanskylar@gmail.com and jonmloss@gmail.com.

Connect their @hue.life inbox in HubSpot (Settings → General → Email → Connect personal email → Office 365) or add @hue.life as an alias under Profile and Preferences. The rule still BCCs their mail; it just won't credit them until this is done.

Deactivated, duplicate, and external-agency accounts are already cleaned up.

Notes

  1. No group — the rule applies to all internal senders mailing externally. Sent mail isn't noisy (people don't mass-send junk from their own accounts), so this stays clean.
  2. Logs the message only — no open/click tracking. For tracking + sequences, add the HubSpot Sales Outlook add-in (see HubSpot_Addin_Logout_Fix.md).
  3. Mail from non-HubSpot-user mailboxes (shared/service accounts) just gets ignored by HubSpot — harmless.

Deferred — capturing INCOMING replies (when you're ready)

Not set up now. The low-noise way is NOT a mail-flow rule (that would log every newsletter/spam and create junk contacts — and inbox tools like SaneBox/Clean Email can't stop it, because they act after delivery, while the rule fires server-side first). Instead:

Each user connects their @hue.life inbox to HubSpot (Settings → General → Email → Connect personal email). HubSpot then logs replies to tracked conversations only, ignoring the noise. (The forwarding address 44205564@forward.hubspot.com is for occasional manual "forward this one to log it" use.)
